How we collect, use and protect your personal data


1. Introduction and Who We Are

Veterinary Vista Ltd ("Veterinary Vista", "we", "us", "our"), company number 16651774, registered office The Old Granary, The Slade, Witcham, Ely, England, CB6 2LA, is the data controller responsible for your personal data under the UK GDPR and the Data Protection Act 2018.

2. Scope

This Privacy Policy explains how we collect, use, share, and protect personal data when you use www.veterinaryvista.com and beachclub.veterinaryvista.com (together, the "Platform"), including account registration, subscriptions, factsheets, courses, quizzes, and the Beach Club (customisation, games, points, Vista Shop). One Privacy Policy applies to both the website and the Beach Club application, as they form a single service accessed through a single account. It should be read alongside our Cookies Policy.

3. Personal Data We Collect

Account data: name, email address, password (stored encrypted/hashed), and account settings.

Subscription and payment data: subscription tier and billing history. Full card/payment details are collected and processed directly by our payment provider, Lemon Squeezy (using Stripe's payment infrastructure, with PayPal available as a checkout option within Lemon Squeezy) — we do not receive or store full card numbers.

Payment routing data: to direct billing and subscription-management requests to the correct regional store, we store a Lemon Squeezy customer ID and store identifier against your WordPress account, and a store identifier against your Supabase profile. This is Lemon Squeezy's own account identifier only — it does not include your card number or other payment details, which we never receive.

Learning Data: see Section 4 below.

Regional/location data: an approximate country derived from your IP address, used to show correct regional pricing — see Section 5 below.

Technical and usage data: log-in times, pages visited, device and browser information, and IP address.

Communications: messages you send us (for example, support emails), and any survey or beta feedback you provide.

Cookies and similar technologies: see our Cookies Policy, including authentication tokens used for single sign-on between www.veterinaryvista.com and beachclub.veterinaryvista.com.

We do not knowingly collect special category data about you personally. Our course, quiz and factsheet content concerns veterinary (animal) medicine, not your own health information.

4. Learning Data

Using the Platform generates data about your learning activity, which we call "Learning Data". This may include:

quiz answers, scores, and attempt history;

course, module, and lesson progress and completion records;

points earned and spent, and Vista Shop purchases;

Beach Club customisation choices;

which factsheets and courses you view, and time spent on content.

We use Learning Data to operate features that depend on it (progress tracking, quiz results, points balances), to confirm authorised use of your account, and — in aggregated, anonymised, or de-identified form — to understand which content is working well and improve the Platform.

We do not sell Learning Data. We do not currently share individual Learning Data with any employer, university, or other institution.

5. Regional Pricing and Your Approximate Location

We show prices in the currency appropriate to your region and direct you to the correct regional checkout. To do this, we determine your approximate country from your IP address.

This lookup is performed entirely on our own servers using a local copy of the MaxMind GeoLite2 database. Your IP address is not transmitted to MaxMind or to any other third party for this purpose. Our server periodically downloads updates to that database from MaxMind; those requests contain no information about you or any other visitor.

Your IP address is read from your connection, used to determine an approximate country, and then discarded. We do not retain it as part of this process, we do not determine your precise location, and we do not use it to build a profile of you or to target advertising.

You can change the currency manually at any time if the detected region is wrong. Your choice applies for your current visit only and is not stored.

Separately from regional pricing, IP addresses are processed by our website firewall (Wordfence) for security purposes and may appear in standard server logs. See Sections 9 and 12.

6. How We Collect Data

We collect data directly from you (registration, purchase, support requests, quiz and course activity) and automatically through cookies and similar technologies as you use the Platform.

7. Legal Bases for Processing

Performance of a contract — to create your account, provide subscription content, process payments, track your progress, and operate the Beach Club and single sign-on.

Legitimate interests — to maintain, secure, and improve the Platform, prevent fraud or misuse, carry out internal analytics, and determine your approximate country from your IP address so that we can display correct regional pricing and direct you to the correct checkout, provided these interests are not overridden by your rights. We consider the regional-pricing use proportionate: the determination is country-level only, the result is not stored against you, and you can override it manually.

Consent — for non-essential cookies (analytics) and marketing communications, where required (see our Cookies Policy and Section 13 below).

Legal obligation — where we must retain or disclose data to comply with the law, for example tax and accounting records.

8. How We Use Your Data

To provide, maintain, and personalise the Platform, including course and quiz progress, your Beach Club customisation, and points balances.

To process subscriptions and payments, and route billing and subscription-management requests to the correct regional store (via Lemon Squeezy).

To show correct regional pricing based on your approximate country.

To authenticate you across www.veterinaryvista.com and beachclub.veterinaryvista.com via single sign-on.

To send you service and account-related communications, and, where you have consented or as otherwise permitted by law, marketing about new courses or features.

To monitor, secure, and improve the Platform, and to detect fraud or misuse (including via our website firewall, Wordfence).

To comply with our legal and regulatory obligations.

9. Who We Share Your Data With

We share personal data with the following third-party processors and recipients, strictly as needed to provide the Services:

Lemon Squeezy — payment processing and subscription billing (merchant of record). We operate two Lemon Squeezy stores, one for GBP and one for USD transactions, and you are directed to the appropriate store for your region. Lemon Squeezy uses Stripe's payment infrastructure and offers PayPal as a checkout option, both within the Lemon Squeezy checkout rather than as separate integrations we maintain.

Supabase — database and authentication infrastructure for the Beach Club application.

Vercel — hosting for the Beach Club application.Bunny.net — content delivery and video hosting for course videos.

Hostinger.com — hosting for www.veterinaryvista.com.

Charlie Langdale (trading as Charlie Langdale, a sole trader) — our technical lead, engaged under a freelance agreement with Veterinary Vista Ltd, with administrative access to systems that process personal data, including Google Analytics, our WordPress site, and Supabase, as needed to build and maintain the Platform.

Video hosting — course and factsheet videos are hosted and delivered via Bunny.net infrastructure operated under a account held by Charlie Langdale (trading as Charlie Langdale, a sole trader), our technical lead, under a written agreement with Veterinary Vista Ltd covering IP ownership, data processing, and business continuity, including full backups of all video content.

Google Analytics (GA4) — website and app usage analytics; only loads after you consent via our cookie banner.

Google (Google Sheets/Workspace) — used internally to manage our quiz question bank; this involves quiz content rather than, typically, your personal data.

Wordfence — website firewall and security; processes IP addresses and request data for security purposes.

Professional advisers (lawyers, accountants) and regulators or authorities, where required by law.

We do not sell your personal data. We do not share your data with third parties for their own independent marketing purposes without your consent. MaxMind is not included in this list, because no personal data is transmitted to them as part of our use of GeoLite2 — see Section 5.

10. International Data Transfers

Some of our processors, including Supabase, Vercel, Lemon Squeezy, Bunny.net (via the arrangement described in Section 9), and Google, may store or process data outside the UK/EEA, including in the United States.Where we transfer personal data internationally, we rely on appropriate safeguards such as the UK International Data Transfer Addendum, EU Standard Contractual Clauses, or transfers to jurisdictions covered by adequacy regulations, as applicable.

11. Data Retention

We retain personal data for as long as your account is active and as needed to provide the Services, comply with legal obligations (for example, tax and accounting records), resolve disputes, and enforce our agreements. We delete or anonymise data when it is no longer needed for these purposes.

Payment routing data (your Lemon Squeezy customer ID and store identifier) is retained until you request deletion of your account. On request, we aim to complete deletion within 30 days, in line with Article 17 UK GDPR. This is a manually-actioned process rather than an automatic one: a request triggers a review by our team, who then delete the relevant records across our systems. 12. Security

We use appropriate technical and organisational measures, including encrypted password storage, secure token-based authentication for single sign-on, a website firewall (Wordfence), and access controls, to protect personal data. No system is completely secure, and we cannot guarantee absolute security.

13. Marketing Communications

Service and account-related emails (order confirmations, renewal notices, security alerts, changes to our terms) are part of providing the Services and are sent to all account holders.

Marketing emails about new courses, factsheets, or features are sent only where you have opted in, or where otherwise permitted by law. You can opt out at any time via the unsubscribe link in any marketing email or by contacting info@veterinaryvista.com.

14. Children

The Platform is intended for users aged 18 and over. We do not knowingly collect personal data from anyone under 18. If we become aware that we have inadvertently collected such data, we will delete it.

15. Your Rights

Depending on your location, you have rights in relation to your personal data, which may include the right to:

access the personal data we hold about you;correct inaccurate data;

request erasure ("right to be forgotten");

restrict or object to processing;request data portability;

withdraw consent at any time where processing is based on consent;

lodge a complaint with a supervisory authority — in the UK, the Information Commissioner's Office (ico.org.uk), or your local data protection authority if you are in the EU.

US residents, including California residents under the CCPA/CPRA, may have additional rights, including the right to know what personal information is collected, to request deletion, to opt out of the "sale" or "sharing" of personal information (we do not sell personal data), and to non-discrimination for exercising these rights.

To exercise any of these rights, including account deletion, contact info@veterinaryvista.com. We may need to verify your identity before actioning a request. We aim to respond within one month.

16. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on the Platform with a revised "last updated" date, and notify you of material changes where required by law.
